Is your workflow ready for AI?
Five questions to answer before adding AI to your business.
What specific task should improve?
Choose an observable task, such as finding a passage in a handbook or drafting a document summary. Avoid starting with an open-ended assistant that has no clear boundary or measure of usefulness.
Do you have the right information?
Identify the documents or data needed for the task, who owns them, and who is allowed to access them. Outdated, contradictory, or inaccessible sources create problems that a model alone cannot solve.
Can you check the output?
Build a small set of realistic examples and expected outcomes. For knowledge search, check whether the cited source actually supports the answer. For extraction, check required fields and how missing information is represented.
What happens when it is wrong?
Decide which outputs need review, when the system should say it does not know, and how users can report a problem. Actions that affect customers or change records should have explicit controls.
Is it better than the simpler option?
Compare the pilot against search, a form, a rules-based workflow, or the current process. Consider review time, running costs, and maintenance alongside the apparent speed of the model. Keep AI only where it earns its place.
